01Overview

What is inside the FluxHire AI agent framework?

One command centre and the capabilities it routes work to. Each one prepares a kind of recruitment work, and each one hands it to a person.

02What it is

What is an AI agent framework for recruitment?

A set of AI agents that each prepare one kind of recruitment work for a person to review. The difference from a record-first system is who does the first pass on the work.

  1. Who starts the day’s work?

    Traditional ATS or CRM, record-first

The consultant, working through lists and saved searches.

    FluxHire, agent-first

Suggested tasks and follow-ups are waiting, and the consultant accepts or dismisses each one.

  2. Who fills in the record?

    Traditional ATS or CRM, record-first

    The consultant, by typing.

    FluxHire, agent-first

Research and drafts are prepared for the consultant to check before use.

  3. What happens to a proposed change?

    Traditional ATS or CRM, record-first

It is saved when the consultant clicks save.

    FluxHire, agent-first

A change proposed by the assistant is held for approval, and during early access record edits are made by people holding the records editor permission.

  4. How is value judged?

    Traditional ATS or CRM, record-first

    Activity counts.

    FluxHire, agent-first

Against your own baseline, set before the pilot starts.

03Capabilities

What does the framework prepare, and where does a person sign off?

Each part of the framework prepares one kind of work and hands it to a person, who checks, accepts, approves or reviews it. AI output can be wrong, and the consultant who acts on it is still responsible for the outcome.

  1. An assistant that asks before it edits

    • Ask questions in plain English and get answers that link back to your records, from any screen with Cmd or Ctrl + K.
    • It searches records and notes by meaning, not only by keyword, and specialist agents take on each part of the job.
    • It sets up email and drip campaigns as drafts, publishes or schedules social posts from a confirmation card, and prepares clean-up changes to your records.
    Explore Global AI Centre

Record changes are held for approval and expire after ten minutes; posts go out only when you press confirm.

  2. Contact and company research, prepared for you

    • Contact Finder finds hiring managers and candidates through the FluxHire Neural Engine, and Company Finder maps target companies from business listings.
    • Details from any source can be incomplete or out of date, so consultants check where each detail came from before reaching out.
    Explore Contact Finder

Your consultant checks the research and decides whether contact is appropriate.

  3. Email campaigns drafted in an AI studio

    • Campaigns through FluxHire Mail with lists, A/B tests and scheduling.
    • The AI email studio drafts full templates and subject lines, checks for spam triggers and personalises copy. Every send includes a one-click unsubscribe.
    Explore Email marketing

A campaign at or above your team’s recipient threshold needs approval from someone holding the approver role. Editing re-opens approval.

  4. Drip sequences you build, test and switch on

    • A visual sequence builder with delays, branches on opens, clicks and tags, and automated actions such as tags, field updates and list changes.
    • AI drafts a whole sequence, with subject lines and email copy. Sequences honour unsubscribes and stop on hard bounces.
    Explore Drip campaigns

Nothing sends until a person activates the sequence by typing its name.

  5. Social posts drafted by AI, approved by a person

    • One composer for Facebook, Instagram and LinkedIn profiles, with an inbox and analytics for Facebook and Instagram.
    • AI drafts post variants from a job, a blog post, a link or an idea, with hashtags and image alt text.
    Explore Social media

Drafts from people without publish rights go to an approver, who must be someone else. Any edit after approval stops the post.

  6. In-depth analytics you can ask for in plain English

    • Revenue, placement and pipeline figures filtered by date, recruiter and division, from your synced JobAdder data.
    • Ask a question in plain English and get a report you can pin to a dashboard.
    Explore Recruitment analytics

You choose what to pin and share. Reports read your data; they do not change it.

  7. Follow-ups suggested from your records

    • FluxHire’s suggestion engine proposes follow-up tasks from your records, such as a job with no applications five days after listing or an application that moves stage.

A consultant accepts or dismisses each suggestion.

  8. AI governance built in

    • The assistant cannot delete records, and outbound email it plans shows a full preview first.
    • Activity is recorded in a tamper-evident audit log, and super admins see AI cost, usage by area, errors and outage status.

AI proposes, a person approves, and the audit log keeps the record.

04Records

Which records do the agents work from?

For agencies on JobAdder, everything except tasks is filled from your existing database, so nobody has to type these records in again.

Synced from JobAdder

  • Candidates
  • Contacts
  • Companies
  • Jobs
  • Applications
  • Placements
  • Notes
  • Candidate activities

Which record types are switched on for your account is confirmed with your team during early access. Syncing JobAdder user tasks is being developed.

Who owns what, and who sees what?

  1. Signed-in users, controls by roleOnly signed-in users can open records. User management, integrations, team-wide billing and export are restricted by role.
  2. Ownership follows your ATSOwnership follows the owner set in JobAdder, so records are reassigned there, and dashboards credit that owner.
  3. Colleague billing stays in the divisionConsultants see billing for colleagues in their own division.
  4. Billing export is restrictedBilling export is not offered to consultants or administrators.
  5. Tasks reassign singly or in bulkFluxHire tasks can be reassigned singly or in bulk.
  6. Removing access keeps historyRemoving a user’s access keeps their history.

05Your role

Where does each role start with FluxHire?

One framework, four seats. Choose yours to see where the agents take the groundwork off your desk.

A day on the desk

A new brief lands on Friday: you need hiring managers at five firms and people who have done the job.

  • Contact Finder and Company Finder prepare the research for you to check.
  • The Global AI Centre answers questions about your desk from any screen.
  • Outreach, sequences and posts arrive as drafts that you review.

What stays yours

Who you contact, what you send and what gets written to a record.

06Guardrails

What will the agents never do without your team?

The same guardrails run through every capability in the framework.

Agents can

  • Research contacts, candidates and companies.
  • Answer questions in plain English from your synced records.
  • Draft notes, emails, campaigns, sequences and posts.
  • Build read-only reports and dashboards.

Agents never, without you

  • Change a record without approval, or delete one.
  • Send a campaign or activate a sequence without a person.
  • Publish, schedule or reply on social without a confirmation.
  • Keep a proposal open forever: unanswered plans expire after ten minutes.

Always recorded

  • AI-planned actions, in the tamper-evident audit log.
  • Activity across the platform, hash-chained so tampering shows.
  • AI cost, usage, errors and outage status, for super admins.

Works alongside your current ATS

Native integrations with JobAdder and Jobli.

Every agent works from your synced records, so answers, research and drafts reflect what is already in your ATS.

  • Contact Finder, Company Finder and Social work whatever ATS you run.
  • For JobAdder agencies, candidates, contacts, companies, jobs, applications and placements sync into FluxHire with their notes, so nobody types a record in again.
  • Field write-back is set up with your administrator during onboarding.
  • Records deleted in JobAdder are marked deleted in FluxHire at the next daily check.

07Questions

Questions about the AI agent framework

Further reading

Is FluxHire a CRM?

No. FluxHire is an AI agent framework for recruitment agencies: agents prepare research and drafts from your synced records, its suggestion engine proposes follow-up tasks, and your consultants make the calls. It works alongside your current ATS, and during early access the records, integrations and review steps are confirmed with each team.

What do the agents actually do for a recruitment agency?

They prepare the groundwork: contact and company research, email and campaign drafts, sequences, social posts, reports and answers to questions about your records. FluxHire’s suggestion engine proposes follow-up tasks. Your consultants check, accept or review each item, and the consultant who acts on it is still responsible for the outcome.

Does FluxHire work with my ATS?

FluxHire works alongside your current ATS, with native integrations with JobAdder and Jobli. For JobAdder agencies, candidate, contact, company, job, application and placement records sync, along with notes and candidate activities. Field write-back is set up with your administrator during onboarding. Read about the native JobAdder integration.

How does the assistant change records?

It asks first. The assistant prepares record changes and holds them for approval. During early access, record edits are made by people holding the records editor permission. A proposed change is written only once someone approves it, and a proposal nobody answers expires after ten minutes.

Who sends the emails the agents draft?

AI can help draft an email template, and the sender reviews its wording and recipients first. Only users with sending rights can send, and a campaign at or above your team’s recipient threshold needs approval from someone holding the approver role.

Who sees billing, and who can export it?

Billing and placement dashboards credit the consultant recorded as the owner in JobAdder, and can be filtered by consultant. Consultants see billing for colleagues in their own division. Billing export is not offered to consultants or administrators.

What happens when someone leaves the agency?

Removing a user’s access keeps their history. Because ownership follows JobAdder, their records are reassigned there, and FluxHire tasks can be reassigned singly or in bulk.

How is pricing set?

Custom pricing, based on your needs. Supported records, integrations and review steps are confirmed with each team during early access.
