Friday team meeting: who starts in November, and which jobs need attention?

In short

FluxHire’s recruitment analytics software gives Australian recruitment agencies pipeline, revenue, starters and team dashboards built from records synced from JobAdder. Ask the Global AI Centre in plain English and an agent builds the report, or filter the dashboards and build your own. Reports only read your records, and figures follow each person’s role.

01Overview

What does a recruitment KPI dashboard change on your desk?

FluxHire Recruitment Analytics is the reporting side of FluxHire: reports on request from the Global AI Centre, plus dashboards you filter and custom reports you build yourself, all read from the records your agency already keeps in JobAdder.

  1. Preparing the Friday team meeting

    The manual way

Pull lists out of the ATS into a spreadsheet and rebuild the same pivot table every week.

    With FluxHire Analytics

Ask the Global AI Centre for the meeting’s reports, or open the Team dashboard, set the date and division, and compare with the previous period. The figures are already there.

  2. Getting a one-off report

    The manual way

Email the question to whoever runs the reports, then wait for a reply.

    With FluxHire Analytics

Press Cmd or Ctrl + K on any screen and ask the Global AI Centre. The Report Builder builds and saves the report, marked AI-generated.

  3. Adjusting a report

    The manual way

Find the one person who knows the reporting tool, then wait for them to change it.

    With FluxHire Analytics

If you want to, open it in the report builder, or start one from a template or from scratch: choose the data source, fields, filters and chart type, then save it.

  4. Spotting a thin pipeline

    The manual way

Count active candidates for each consultant by hand, then compare the counts in your head.

    With FluxHire Analytics

Ask “Whose pipeline is thin this month?” in the analytics bar and get a chart or a table, then narrow it with a follow-up question.

  5. Checking billing against target

    The manual way

Wait for month-end figures from finance, then work out where each desk sits.

    With FluxHire Analytics

The Revenue dashboard shows billing for the period you pick, and My team shows a team lead’s billing against the month’s target.

  6. Keeping managers on the same page

    The manual way

Email screenshots of charts that are out of date by the time anyone reads them.

    With FluxHire Analytics

Ask the Report Builder to add the report to a dashboard, or pin it yourself, then share the dashboard and its reports. Each time it opens, the reports run again on the latest synced records.

  7. Knowing who sees what

    The manual way

Share one spreadsheet with everyone and hope nobody opens the wrong tab.

    With FluxHire Analytics

Figures follow each person’s role: their own, their division colleagues’, or the whole agency for administrators.

  1. The agent drafts

In the Global AI Centre, the Data Analyst answers questions and the Report Builder builds, saves and pins reports when you ask. They read your records and never change a candidate, job, application or placement.

  2. You decide

Ask, or filter the dashboards and build your own reports. Then choose what to pin and who to share it with.

  3. The record is kept

Your records stay exactly as they are. Reports read them and never change them.

02Watch it work

How does recruitment analytics software build a report, step by step?

Follow one Friday morning: a report asked for in the Global AI Centre, then, if you want, a dashboard filtered and a report built by hand, both reports pinned. Play the run, or step through it yourself.

  1. You ask

    Ask the Global AI Centre

Friday, 8.30am. Hannah, who leads the accounting desk, presses Cmd or Ctrl + K and asks in plain English for open jobs not yet at interview. The Report Builder builds it, marked AI-generated.Fig 0.2 · Global AI Centre
  2. You build

Filter the dashboard, if you want

She also opens the Team dashboard, picks This Month and her division, and compares with last month. Filtering by hand is optional; the figures are already there.Fig 0.3 · Team dashboard, filtered
  3. You build

    Or build a report yourself

For November starts by consultant she uses the report builder: placements, grouped by recruiter, counted, filtered to November start dates, shown as bars and saved.Fig 0.4 · Report builder
  4. You decide

You choose what to pin and share

Hannah pins both reports to the Friday team meeting dashboard, then shares the dashboard and its reports with her four consultants. Which dashboard, and who sees it, is her call.Fig 0.5 · Pin and share
  5. Record

    The dashboard runs both again

At 9.00am the team opens the dashboard. Each pinned report runs again on the latest synced records, scoped to whoever opens it, and not one record has changed.Fig 0.6 · Team meeting dashboard

03Your role

What does recruitment analytics change for your role?

The same figures, scoped to each seat in the agency, whether you ask for the report or build it. Choose yours.

A day on the desk

Thursday afternoon: before tomorrow’s meeting you want to know where your own pipeline stands.

  • Press Cmd or Ctrl + K on whatever screen you are on and ask the Global AI Centre for the report in plain English.
  • Or open the Pipeline, Starters and Revenue dashboards and filter them to the period you pick. Your own figures are already there.
  • Upcoming starters are listed by the start date synced from JobAdder, so check-in calls are easy to plan.

What stays yours

What you do with the answer. The figures point to the work; you decide which calls to make.

04Guardrails

What will recruitment analytics never change?

Analytics in FluxHire reads. It does not write to your records. Here is exactly where the line sits.

Agents can

  • Read your synced candidates, jobs, applications and placements to build dashboards and reports.
  • Answer plain-English questions in the analytics bar or the Global AI Centre, and build a report when you ask for one.
  • Let you build custom reports yourself, from a template or from scratch, and combine them into dashboards.
  • Show progress against the targets your agency sets.
  • Filter every view by date, recruiter and division, including this and last financial year.

Agents never, without you

  • Change, add or delete a candidate, job, application or placement.
  • Run a query that writes to your data. Questions and agent-built reports are limited to reading.
  • Widen what a person can see when they change a filter. Scope is checked on the server.
  • Write anything back to your ATS from a report.

Always recorded

  • Saved reports and dashboards, visible to the colleagues you share them with.
  • Reports an agent builds, saved with an AI-generated marker.
  • Your analytics conversations, so a follow-up question keeps its context.

Works alongside your current ATS

Native integrations with JobAdder and Jobli.

Figures are read from the records your agency syncs from JobAdder, so the dashboards reflect what is already in your ATS.

  • Contact Finder, Company Finder and Social work whatever ATS you run.
  • For JobAdder agencies, candidates, contacts, companies, jobs, applications and placements sync into FluxHire with their notes, so nobody types a record in again.
  • Field write-back is set up with your administrator during onboarding.
  • Records deleted in JobAdder are marked deleted in FluxHire at the next daily check.

05Questions

Questions agencies ask about recruitment analytics

Further reading

Who sees which figures?

Each person sees figures scoped to their role. Recruiters see their own numbers and their division colleagues’, administrators see the whole agency, and team leads also get a My team view of everyone who reports to them. The scope is checked on the server, so changing a filter cannot widen it.

How accurate are the figures?

They are as accurate as your ATS, because every figure is read from records synced from JobAdder. Changes arrive through webhook events and a scheduled catch-up sync, and the dashboard header shows when figures last synced. If a recruiter is not yet linked to a JobAdder user, FluxHire says so instead of showing an empty chart.

Can I ask the Global AI Centre for a report?

Yes. Press Cmd or Ctrl + K on any screen and ask in the Global AI Centre. The Report Builder builds the report, saves it marked AI-generated and can add it to a dashboard, and the Data Analyst answers analytics questions. Both read your records without changing them, and the report opens in the same builder for you to check or edit.

Can I build reports myself?

Yes, if you prefer to, and you never have to ask an agent. In the report builder, pick a data source such as placements, jobs, candidates or applications, choose what to group by and what to count or total, add filters and pick a chart type or a table. Run it, save it and edit it later, or start from a template. Then pin it to a dashboard and share it with colleagues.

Can the AI change my data?

No. Reports and dashboards only read your records. When you ask a question in plain English, in the analytics bar or the Global AI Centre, the query is checked and limited to reading before it runs, and it runs with your own permissions. AI answers can still be wrong, so check a surprising figure against the record.

What can I ask in plain English?

Questions about your pipeline, revenue, placements, clients and team, such as revenue by client this month or the recruitment funnel for last quarter. In the analytics bar the answer comes back as a chart or a table, and a follow-up question narrows it down. Each answer is marked as AI-suggested, because you decide what it means.

Do I have to leave my ATS?

No. FluxHire works alongside your current ATS, with native integrations with JobAdder and Jobli. Analytics reads the records synced from JobAdder, and field write-back is set up with your administrator during onboarding. Nothing in a report is ever written back to your ATS. Read about the native JobAdder integration.
